Position Description
August 2013

This position facilitates the coordination and delivery of university credit courses and programs as well as some noncredit courses in the College of Agriculture and the College of Veterinary Medicine. This position works closely with the Great Plains Interactive Distance Education Alliance (Great Plains IDEA) and the Agriculture Interactive Distance Education Alliance (AG*IDEA). This position reports to the Assistant Dean, who directs the Academic and Professional Programs unit and to the Associate Dean for the Division of Continuing Education.

The person in this position is a member of the DCE staff but is expected to form a strong alliance with the Colleges of Agriculture and Veterinary Medicine and to be able to represent the needs of the colleges to the DCE leadership and DCE interests back to the colleges. In addition, this person works with numerous entities across campus and is expected to represent DCE as requested on committees and project teams.

This position is expected to work within the colleges to develop new courses and programs and to participate in the DCE Request for Proposal (RFP) grant funding process to facilitate new courses and programs.

This position will be expected to actively engage in the development and review of the DCE College of Agriculture and the College of Veterinary Medicine budgets and any financial decisions related to the budgets while remaining cognizant of how contributions from the programs will impact DCE and the financial status of Kansas State University.

This position supervises one student assistant.

Program Facilitation and Coordination (50%)

  • Facilitate the delivery and coordination of the College of Agriculture and the College of Veterinary Medicine distance and face-to-face courses and programs that are offered through DCE. This includes working with all departments within the colleges and with the Great Plains IDEA and AG*IDEA programs.
  • Serve as the DCE liaison with the College of Agriculture and the College of Veterinary Medicine faculty and staff. Handle concerns and problems of the colleges as they relate to DCE courses and programs.
  • Become knowledgeable about the colleges while serving as a real partner in the development and delivery of content. Become acquainted with new faculty and department heads and be prepared to demonstrate steps taken to strengthen relationships within colleges.
  • Coordinate marketing and promotion efforts for the College of Agriculture, the College of Veterinary Medicine, and Great Plains IDEA and AG*IDEA programs.
  • Maintain all noncredit information in GoMembers Meeting Administration for online, noncredit offerings.
  • Serve as the DCE liaison with the Manhattan Area Technical College and other potential partners as initiatives related to the biosciences arise.
  • Meet the needs of students, faculty and other constituents in a timely manner as all aspects of the assigned load of programs are coordinated.
  • Monitor and update all web pages of assigned programs.
  • Prepare reports related to assigned programs.
  • Maintain official documents and records in an electronic format.
  • Supervise a student assistant.

Program Development (20%)

  • Collaborate with DCE and assigned university units to develop new credit and noncredit programs related to assigned work area.
  • Assist with assessing of the potential for developing inter-departmental and inter-institutional collaborations.
  • Identify potential credit and noncredit professional development program opportunities in conjunction with the Olathe campus, NBAF and other developing venues.
  • Annually review the DCE RFP College of Agriculture and College of Veterinary Medicine grant proposals and submit recommendations to the DCE Associate Dean.
  • Monitor the development and implementation of new courses and programs as approved through the RFP process.

APP/Division/University Responsibility (20%)

  • Serve on teams to help complete annual DCE goals as assigned.
  • Maintain an organized and professional office environment.
  • Review areas of work consistency as related to DCE policies/procedures. As areas of inconsistency are identified, when possible, revise procedures to comply with standards.
  • Comply with procedures established for schedule notification.
  • Serve fully on DCE, university or professional association committees or project teams when requested.
  • Participate in DCE professional development.
  • Participate in campus programming related to distance education, retention or student services, diversity events, leadership programs and other campus programs that would expand knowledge.
  • Contribute information about assigned programs for inclusion in publicity efforts.
  • Contribute program nominations to DCE Award committee for submission for national and regional awards.
  • Be familiar with the DCE Disaster Recovery Plan and be prepared to follow the plan including making arrangements to ensure there is no disruption to programs in the event of inclement weather.

Financial (10%)

  • Participate in DCE budgeting process for the Colleges of Agriculture and Veterinary Medicine. Monitor budgets throughout the year, reporting when asked.
  • Responsibly manage financial aspects of assigned programs/courses while meeting DCE goal of contributed revenue.
  • Monitor and report programmatic changes that impact the established DCE College of Agriculture and College of Veterinary Medicine budgets.
  • Coordinate with the DCE Administration and Finance Office for the transfer of funds to the appropriate college and/or department.
  • Provide information regarding the transfer of revenues to assigned colleges to the DCE dean and assistant deans.
  • Process all payment of invoices in a timely manner.

Required Qualifications:

  • Master’s degree
  • Two (2) years of higher education experience or relevant experience
  • Excellent interpersonal and communication skills both written and oral
  • Ability to effectively work and communicate with diverse groups
  • Proven record of organizational and administrative skills including the ability to simultaneously manage multiple projects
  • Experience in budget management
  • Knowledge of the field of distance education including general status and challenges, student services and faculty issues
  • Ability to work independently or as a team member
  • Understanding of technology as it relates to online delivery
  • Demonstrated experience in development of programs

Preferred Qualifications:

  • Five (5) to seven (7) years of higher education or relevant experience.
  • Familiarity with iSIS and K-State Online or similar learning management and student information systems
  • Background in agriculture or related field helpful.
